SSD21: Transform Your Workday: ACC's New ERP

Many ACC employees may be familiar with Colleague, the College's 24-year old legacy system. Workday will replace much of Colleague, which includes core HR, Benefits, Payroll, Finance, and Accounting processes. It will also replace and consolidate the functionality of many frequently used tools such as eTime, eHire, eBudget, elements of the MyACC page, and more.

With Workday, all ACC employees have something to look forward to. There will be automatic notification triggers for tasks, events, and approvals. Managers will gain new insight into processes so they know when and where things get stuck. When working with HR, employees will notice that Workday has eliminated many paper forms and streamlined processes. Onboarding will now feature automated dashboards and online forms. If working with cost centers, or acting as a budget authority, employees will find that managing accounts will be easier. New reporting options will enhance efficiency and save time. These are just the basics of what's to come with Workday.

ACC partnered with a third-party integrator, Collaborative Solutions, to implement Workday. Join this session to view a live demonstration of what Employee Self-Service (ESS) and Manager Self Service (MSS) will look like in Workday: Employee Self Service (ESS) is the functionality allowing employees to initiate actions such as: – Managing personal information – viewing benefits – Setting-up direct deposit.

The implementation of Workday will give ACC employees more freedom to view and edit their information than ever before. Currently, employees work with many separate websites and manual processes to update their personal information. With Workday, all employees will have access to view and edit their personal information in one system.

This will include the ability to change your contact information (such as address, email, and phone numbers), emergency contacts, photo, legal name, and preferred name. You’ll also be able to access compensation and payroll information, payslips, time entry, paid time off (PTO) balances, and your current job details (position, title, hire date). With this level of streamlined access to information, Workday will quickly enable new levels of operational efficiency across the College.

Workday’s user-friendly interface will make your daily work much easier in general. Notifications will alert you to tasks you’ve been assigned, events, upcoming performance reviews, and approvals you’ve received. Automated dashboards and online forms will reduce the amount of repetitive paper processes. And new availability of robust data and reporting capabilities will allow you to more accurately work with less possibility of errors.

Manager Self Service (MSS) provides supervisors with job, position, and compensation information for their direct reports, including access to numerous built-in reports to support HR-related analytics and decisions. Managers cannot view particular employee data such as direct deposit information and benefits enrollment/retirement information.

Jimmy Barton is a Senior Principal Consultant at Collaborative Solutions, and is a member of the Organizational Change and Training team. He brings 10+ years of project leadership and strategic consulting experience. He has served in Collaborative's organizational change and training for the last 3 years, helping organizations and their end users realize their digital, financial and HR transformation potential. He is certified in Workday Financials with cross functional leadership experience on both Workday Financials and Human Capital Management (HCM) implementation projects. His experience spans across a variety of industries including financial services, education, engineering, healthcare, entertainment, and retail. He is truly passionate about change management and working with organizations to deliver actionable change solutions.

Rachel Taylor is a Senior Principal Consultant at Collaborative Solutions. She has worked with medium-sized corporations and government institutions to analyze customer and end-user needs, create plans, and deliver marketing, communications, and training to realize the most value from the switch from legacy systems to Workday. Rachel has worked with large corporations and educational institutions to plan and deliver change management plans that created excitement, awareness, and provided instruction to prepare and equip employees for changes to their messaging, collaboration, and customer relationship management platforms, GSuite, Salesforce, and Workday. She believes in the power of social connections internal to the enterprise, because strong connections lead to increased productivity, job satisfaction, and innovation.
