Colleague Webinar: HR Roadmap
Presenter
Andrew
Discussion
Ellucian is sponsoring an HR Roadmap webinar on Thursday, July 28, at 1:00 pm CDT. HBC 221 has been reserved, and representatives of HR, Payroll, and IT have been invited.
Of particular interest to some of us is the self-service time entry system because (a) the Colleague self-service tools for student planning/advising/registration and financial aid have been well-received, and (b) because of lack of sponsorship for modernizing eTime, the application is rapidly reaching a state of concerning vulnerability.
Item # 4:
SRCUG in October
Presenter
Andrew
Discussion
The Southern Regional Colleague User Group Conference is in Waco this year, from October 19 - 21, 2016 at the Waco Convention Center.
ACC seems to have less participation and attendance in these conferences than other Colleague clients in Texas, and the hope is that by exercising greater participation, ACC will be able to stay current with Colleague's newest updates and best practices. A great opportunity for sharing work strategies with other regional Colleague client institutions.
Item # 5:
SEC.SHORT.TITLE
Presenter
Andrew
Discussion
SEC.SHORT.TITLE, a field in the COURSE.SECTIONS file is vendor-defined as 30-characters. ACC has a number of short titles that exceed 30 characters in length. This type of data length error/violation can cause problems.
Sara tracked down the source of the problem to the XCIN screen allowing 40 characters in length. The 40 character length was part of the XCIN specification in order to present more descriptive titles, but the cost outweighs the benefit.
The Committee unanimously agreed to have the 30-character length enforced. There are currently around 700-900 course sections that exceed 30 characters in length. Connie provided a list of short title data length errors to ISS, and ISS will shorten the titles to be 30 characters maximum. IT will create a ticket to modify XCIN to only allow 30 characters in length, and will modify the screen program accordingly.

Phone, Email, & Address Data
Presenter
Lara
Discussion
Lara brought forward issues with student data being out-of-date in Colleague. Is there a process to update student data for students coming back? Erica Ervin stated that the she would work with Lee and the Help Desk to work with the students to update their phone number and then work to send them student data change form through Admissions and Records.
