AFA not present at today's meeting, but it is believed that all of the Administrative Rules related to eStaffing are likely to be reviewed. At this point in time, MSTA Exception is still the category that is in effect, and MSTA Senior is a potential future replacement category for MSTA Exception.

AFA not present at today's meeting, but it is believed that a review of what constitutes senior status is likely to occur in the near future. Presently, senior status plays a role in eStaffing priority for Highest Priority to Hire (HPH) and Institutional & Computer Associates (IA/CA). The senior status is based on number of academic years taught at ACC and is not specific to academic discipline/department.

A question was raised as to whether Dual Credit/ECS course sections are clearly displayed to the Adjunct Faculty. This will be verified and reported upon at the next eStaffing meeting.

Discussion: How to ensure adequate training for DCs and Admins

Many ideas were discussed in relation to ensuring adequate training for Department Chairs and designated Administrative Assistants:
Joe has been working to ensure that all new Department Chairs receive eStaffing training.
Sue is requesting that a Training environment be set up for eStaffing so that she can use it for training individual academic departments. Currently, there is a 'Live', 'Test', and 'Development' environment. Sue's request is for a fourth environment. Andrew will assist with forwarding this request.
Since Sue has graciously accepted the challenge of providing eStaffing training to those who need it, a suggestion was made to modify the Support information on eStaffing to indicate that she is available for eStaffing training and display her work phone number and email address.
The Committee also entertained the possibility of creating short video presentations on using eStaffing.
Item # 6:
Frequency of Colleague-to-eStaffing Updates during eStaffing

The Committee voted 9 - 0 in favor of having nightly uploads of Colleague data updating the eStaffing database regardless of whether the section preferences, section assignments, or section acceptance windows are open or not.
It was agreed that communication should be provided to the AFA, the Deans, and Department Chairs of this decision because it could mean there will be questions about why certain sections appeared on one day but were absent on another day. Since Institutional Support Services is inundated with high volumes of course section modifications on a daily basis there is likely to be research challenges for departments due to the change to a nightly upload. However, the benefit of accurate up-to-date course section information seems to outweigh the cost of having to explain the consequences of constantly changing course section information.

Transition Period Between eStaffing Semesters

A lively discussion regarding the date of the closing of one semester in eStaffing and the opening of the next semester took place. The discussion led to an agreement that the closing of one semester and subsequent rolling forward to the next semester should occur exactly in between the end of Phase II of the old semester and the start of Phase I of the new semester. That is, the closing of the Fall eStaffing semester should occur at the exact midpoint between the end of Phase II of the Fall semster and the start of Phase I of the subsequent Spring semester. The Spring-to-Summer and Summer-to-Fall transitions would also use the same date calculation. Institutional Support Services will make these date calculations annually and enter the designated dates in the Schedule Development Timeline spreadsheet.

Report Request: List of new Department Chairs
