Lengthy discussion about process improvements related to monthly Colleague software updates.
Statement of Problem: Colleague is the college-wide ERP system, and many employees are surprised by the number of changes that occur. There is a sense that there is insufficient communication campus-wide as to the general and specific nature of the system changes.
While some departments feel the existing arrangement is satisfactory and understand that resources are stretched, both in IT and the administrative departments, others would like IT to spend more time detailing the nature of the monthly changes being made by Ellucian, and explain the likely outcome of these changes in order that departments can take adequate measures to prepare for the changes.
One suggestion was that IT create a QA (Quality Assurance) division, and team this with an increase in Business Analysts.supporting the community college.
Another suggestion was to have the CORE Committee make the user and programmer assignments, plus have the programmers available to discuss the future impact of the software updates.
Another suggestion was to have the Colleague software update discussion occur in the Datatel/Ellucian/Colleague System Steering Committee.
Another suggestion cited the recent closure of the IT Training Lab at the ACC Service Center as an obstacle to attending monthly meetings, and thus, regular, monthly committee meetings ought to be less frequent and bundled together.
There did not seem to be a consensus by the end of the discussion as to a solution as long as users and programmers are as stretched as they are currently are and no added resources are provided. However, the IT Department will attempt to alter the timing of the patch releases so that the CORE Committee and/or the Datatel/Ellucian/Colleague System Steering Committee has an opportunity to discuss the upcoming batch of patches.

A number of questions were asked related to Civitas, some related to the applications they are creating, some related to how their products will affect/interface with existing ACC applications. Not knowing the answers to those questions, the CORE Committee agreed to forward the need for some kind of roadmap to the Datatel/Ellucian/Colleague System Steering Committee.
