Donna DeBerry, the new Coordinator for Alumni Affairs, was available to answer questions from the CORE Committee on the status of the Alumni Project, and to help with framing requirements for the use of non-ACC email addresses for ''Alumni''.
Some key points (specifications):
1. An alumni has been defined by ACC as a student or former student who has completed 20 or more hours, whether at ACC or successfully transferred into ACC. It is still not clear whether this is ''credit'' hours only, or ''credit'', plus ''continuing education''.
2. It was tentatively agreed, pending a change of understanding of the requirement or formal decision otherwise, that for all ''internal'' email correspondence, the ACC-generated student Google (GMail) email address will always be used, and that for all ''external'' email correspondence through iModules (the 3rd party, hosted Alumni software application), the email address, as selected by the ''Alumni'' would be used.
3. The default email address uploaded into iModules will always be the ACC-generated student Google email address. Within iModules, the ''Alumni'' has the option (an ''opt in'' function) to choose a personal email address as the email address to be used by ACC for purposes of correspondence through iModules.
4. The iModules webpage for ACC makes it look like is an internal ACC site, but it is not. The ''Alumni'' is re-directed to iModules.
5. Donna has asked IT to work with iModules to develop a regular, automated upload program so that iModules gets updated information. (Andrew received a data mapping document 2 days after the CORE meeting and has begun reviewing it.)
6. ACC will not be updating Colleague with any iModules data. That includes any opt-in non-ACC personal email addresses.
One unanswered question revolves around the concept of a ''Graduating Class of ... Which Year'' when a student ''graduates'' in different years with different degrees/certificates. The idea that a student can have multiple ''Class of ...'' values is different than what is standard in the understanding of that concept.

Andrew provided a hard copy sample of the Google Doc that is being used to track the progress of the UniData data violations as identified by the ODS transformation process.
The UniData/ODS Data Cleanup Subcommittee meeting meets every two weeks.

Discussion: Identification of Key CORE Issues in 2013

1. Linda mentioned that she thought there would be movement sometime soon to confirm an idea that was requested a while back; i.e., an AR8 Restriction code to be applied to ECHS.
2. Fernanda and Rosie mentioned that there was a problem recently with the LTR.ARCV getting so big that it stopped some processes from running. IT Operations converted the file to ''Dynamic''; this should prevent the negative impact from happening again. However, it still leaves the question whether the file can be trimmed. The retention of this type of Financial Aid data is either 5 or 6 years.
3. Marie would like it if ECS course section attributes could be ''rolled'' into future term course sections because it would save a lot of redundant set up. The answer is that that is not possible. The rolling of attributes occurs at the course level.
