Cleanup of FICE Codes on the INSTITUTIONS Records

FICE codes are presently attached to multiple INSTITUTIONS records of the same institution. Colleague clients cannot really curtail the proliferation of INSTITUTION records for the same institution, but ACC is pursuing a solution to such problems as transcripts not being able to import correctly, by removing all FICE codes unless they are attached to one ''official'' INSTITUTIONS record for each institution.
This project will take some time. We will need to ensure that procedures are clear and communicated to all. This project will not affect vendors, nor Account Payable-type activity.

Follow up on ''Preferred'' Employee Email Addresses

Colleague provides for a ''preferred'' email address. When a person has both an employee (''ACC'') and a student (''INT'') email address, the employee email address is understood to have the higher priority; i.e. be the ''preferred'' email address. And it is the preferred email address that is highlighted at the top of the UI 4 screens in Colleague.
Sometimes the ''preferred'' email address gets out of sync with the employee-first priority.
The recommendation was to attack this problem from two fronts: (1) Analyze the current process being used when employee gmail accounts are being created, and modify the process, if necessary; (2) Utilize some batch-like process that finds violations of the employee-first priority, and adjusts them.
There were no disagreements expressed to this recommendation.
Two points worth mentioning:
(1) Student applications can continue to be written with the flexibility of retrieving student email addresses.
(2) The Committee did not discuss how vendor (''VEN'') and retiree (''RET'') email addresses fit into the priority ranking.

Data Clean-Up Subcommittee Update

The data cleanup committee will be meeting every two weeks with the intent of (a) cleaning up Unidata data so that it will import successfully into a RDMS (such as SQL Server) sometime in the future; and (b) cleaning up Unidata data so that it will import into ODS as soon as possible. (Unidata is very forgiving of data violations; RDBSs, like Oracle and MS SQL Server, are not.

Given the lateness in the calendar year, it is safe to say that ACC will not have in place the ability for students, employees, and vendors to go into Online Services and choose to not require ACC to mail 2012 1098-Ts, W-2s, and 1099s.

Currently Communications Management is using a validation code table (CORR.STATUSES in CORE) that has values for ''Received'', ''Waived'', and ''Incomplete''. A new validation code has been requested: ''Sent''. The CORE Committee approved the request, and the new code was added the following morning.
