Review of May 1, 2012 eStaffing Minutes

There continues to be a wide variety of opinions regarding any future eHire-to-eStaffing integration. However, the general idea of making adjunct faculty names available to be ''dropped into'' the Appointments and Eligibility rosters, rather than manually ''data entered'' is gaining some traction, as long as it is clear that it is those adjuncts who have been ''hired'' through the eHire process that are made available in eStaffing, and not just merely those who have applied for an adjunct position.

Review of Spring 2013 eStaffing

Discussion
IT was asked to research a number of things during the Spring 2013 session; most of them were instances where new Department Chairs were unfamiliar with the process, or there were faculty complaints related to missing the ''preference'' or ''acceptance'' deadlines.
There is one known 'bug' that was reported by several adjunct faculty, and it should be fixed in time for Summer 2013 eStaffing. The 'bug' occurs under a certain set of circumstances, which IT has identified, wherein the adjunct faculty are unable to assign a numeric priority to their section preferences. When remedy tickets were submitted, via the Help Desk, IT worked with adjunct to guide them through the ''work around''.

Textbook Ordering Option in Faculty Online Services
Presenter
Andrew, Kathy
Discussion
''Textbooks'' is a menu option in Faculty Online Services where adjunct faculty can view the textbooks selected for their assigned courses. Departments that allow Faculty to select their textbook can also place an order in this web form -- but only if the ordering deadline is still open. Given the early deadlines for textbook submission, the ''view'' benefits of ''Textbooks'' in Faculty Online Services outweigh the advantages of the ''update'' functionality.
Kathy will verify that departments that do not allow Faculty to select textbooks in eStaffing are also prevented from doing so in Faculty Online Services.
Item # 4:
Status of Executive Module Rewrite/Redesign
Presenter
Kathy
Discussion
The Faculty module in eStaffing has already been converted from ''asp'' to ''php''. (Microsoft no longer supports the ''asp'' programming language. All IT web software development projects are written in ''php''.) The Executive modules still retain the original contractor code that was written in ''asp''. It is imperative that IT be granted the time to convert the Executive modules from ''asp'' to ''php''. In so doing, IT will be redesigning these modules to make identified improvements.
The eStaffing Redesign subcommittee will meet again soon to complete the identification of all redesign specifications. The subcommittee is chaired by Kathy, and the members include Sue, Glen, Gaye Lynn, Tobin, Gillian, and Mary.

Gaye Lynn said she would attempt to get an update on the proposed Administrative Rule change that would remove ''MSTA Exception'' and add ''MSTA Senior''.
To ensure that all departments are complying with the Administrative Rules that mandate the use of eStaffing for making course section assignments for adjunct faculty, except where the departments have received formal approval for departmental exemption from using eStaffing to make the assignments, IT will compile another statistical chart for Mike (VP of Instruction) and the Deans to review.
