Item # 3:
Name Change Review
Presenter
Theresa
Discussion
When a student or employee changes his/her name, it is no longer as simple as updating Colleague. In recent years a number of 3rd party vendors have been added to the college's infrastructure: Google for email, Magnus for meningitis compliance tracking, HigherOne for student refunds, TouchNet for student payment plans, ? for ERS retirement benefit tracking, etc.
There is no process in place where name changes are seamlessly forwarded to the various vendors (although a current modification to IT's ACC-HigherOne integration will be handling this soon.)
The result of the committee's discussion was the recommendation that the information on the back of the ''Student Data Change Form'' be updated to include specific information on informing what the student needs to do in order to update the various vendors.
Item # 4:
Colleague UI 4.3 & X-Processes
Presenter
Andrew
Discussion
Everyone is aware that UI Desktop will no longer be supported. The cut-off date is likely to be in May, after the completion of the Spring 2012 semester. Over 400 custom (X-processes) have been converted, including dozens that involved a complete rewrite from UniBasic programs to new Envision processes or Informer reports.
There is expected to be some rarely used custom processes that have avoided detection so far. Departments are encouraged to flush those non-obsolete rarities out of the bushes, so that IT has time to perform the conversions.
Item # 5:
