Review of Any Issues related to Summer 2019 eStaffing

Only reported issues were (1) More than the usual number of incidents where Department Chairs had not approved eligibility prior to the start of Phase 1 of eStaffing, and (2) More than the usual number of requests for changes to the identity of administrative staff working to support eStaffing in the departmental and dean areas.
A recommendation that was suggested seemed to have committee support was that the 'My Info' page be the first screen that is presented to the adjunct faculty after they login successfully. The 'My Info' page includes the adjunct's appoint and eligibility status and whether it has been Approved or Unapproved. Currently, when an adjunct faculty logs into eStaffing, the 'Time Line' screen is presented.

Review of MSTA Process - Current Year and Possible Future Changes

This agenda item was briefly discussed, but, because of Matthew's absence, was postponed until the April meeting.
The MSTA process was developed to faithfully execute an administrative rule that invites confusion. Discussion of modifying MSTA process handling centers around the followingl:
The goal should be for adjuncts in a department to get a notice of an MSTA vacancy only when there actually is a vacancy. The problem that needs addressing arises in the first two years of a new MSTA, before the MSTA gets on the three-year rolling cycle. Setting the 'Accepting new MSTAs for the coming year' switch to yes so the department can let incumbents reapply in their first and second years is the problem: Doing so generates a notice to the adjuncts that there is a vacancy (mainly because that’s exactly what the switch is for).

Review of Condensed eStaffing Schedule for Fall 2019

The college has condensed the number of days in each of the eStaffing windows in order to accommodate Barnes & Noble's timing requirement for identifying faculty assignments where the faculty is participating in 'First Day' eBook option.
The biggest change is that adjunct faculty only have 2 days to make section preference selections (instead of 3), and only 2 days to accept or decline section assignments (instead of 3).
AFA Representatives were concerned about this reduction in the number of days to comply with the eStaffing schedule and plan to report back to the AFA about this matter.

On-Going Training Issues

There are presently efforts in both the Information Technology and Teaching & Learning Excellence departments to provide improved eStaffing training materials, including videos, to help with the on-going personnel changes at the Department Chair and Dean level.
Item # 6:
Future of Administration of eStaffing

There are on-going discussions about whether the future of the administration of eStaffing belongs in IT. There is still a high volume of requests of IT staff to analyze eStaffing data as a way of providing explanations for particular events that are usually related to missed deadlines or not following the correct procedures.
At the present time, IT will continue to provide more reports to Deans, Department Chairs, and the AFA, as a way of hoping to avoid missed deadlines for approving Appointments and Eligibility.
IT is also working on the development of some administrative tools that could be used by the VP of Instruction, AVP of Workforce Education, Deans, and Department Chairs.
