Item # 2:
Review of May 2017 eStaffing Committee Minutes
Presenter
Committee
Discussion
Reviewed May 2017 eStaffing Committee Minutes. May 2017 was the 4th of 4 eStaffing Committee meetings for 2016-2017. Due to lack of quorum, approval of minutes was postponed until November 2017 eStaffing meeting.
A couple of comments/observations: All of the Administrative Rules related to eStaffing are badly in need of updating.
The recommendation regarding the 'Max Credit Allowed' line on the 'Faculty Assignments' page: Given the logical inconsistencies introduced by the EIS category, just remove the one line display with the impossible to compute max credit value.
Item # 3:
Combined Classes Problem
Presenter
Andrew
Discussion
The unannounced change initiated by HR a couple of years ago that changes the way LEH is assigned within combined course groups has involved a large amount of analysis time and software development re-design and re-write time. The original rules were embedded in the software and the idea that the system could quickly adapt to the new rules was unrealistic. IT is managing the change in phases, and it is unlikely that all of the modifications will be fully completed until the start of Fall 2018 eStaffing. However, IT is trying to manage the change in a way that does not require departments to update Colleague manually with the revised LEH numbers.
Item # 4:
Fall 2017 Compliance Report (and Department Names)
Presenter
Andrew
Discussion
The Committee appreciates the Compliance Reports, and has encouraged the release of the reports to be distributed to the VP Instruction, AVP Workforce Education, AVP Academic Transfer Programs, the AFA leadership, and all of the Deans.
Item # 5:
Textbook Ordering & eStaffing
Presenter
Andrew
Discussion
Adjunct Faculty are receiving mixed messages from the college about textbook ordering. Some are being told to use Faculty Enlight. Some departments are aware that as of September 19, the Technology Steering Committee has not yet approved the implementation, at least in terms of its impact on current applications, of Barnes & Noble's Faculty Enlight as the sole source for textbook ordering. Word of the Faculty Enlight project proposal reached IT one day before the start of Spring 2018 eStaffing, and thus, textbook ordering through eStaffing will still be available for Spring 2018. If the TSC approves Barnes & Nobles' Faculty Enlight product to be the sole source for textbook ordering, then IT will begin work on replacing the existing textbook ordering processes. Unless directed otherwise, IT will consider the Combined Courses LEH Assignment modifications as the higher priority within eStaffing.
Item # 6:
Spring 2018 eStaffing
Presenter
Committee
Discussion
The only complaints about Spring 2018 eStaffing that have been reported so far: (1) Reserved Sections was not available at the start of eStaffing, but was available shortly thereafter; (2) Some Admins do not have access to eStaffing - presumably this is related to all of the Institutional Realignment Changes in conjunction with IT not being informed of some of the admin role changes; and (3) Reports that some faculty claim not to have received one of the trigger emails. (Without further information about this last claim, it is impossible to research, but IT can confirm that all of the email triggers are set up and working properly.)
