Item # 1:
Review of Spring 2012 eStaffing -- the first semester with the re-programmed Faculty modules.
Presenter
Committee
Discussion
1. The problems that attended the new ''php'' version of the Faculty module were documented and quickly resolved. Phase 2 went noticeably smoother than the Phase 1.
2. Because of J-Query's incompatibility with any versions of Internet Explorer before version 9, and because ACC does not yet officially support IE9, the inability to use IE for eStaffing was the biggest criticism of the new version. ITAD will look at adding some backwards compatibility.
3. More intensive AFA involvement in future releases affecting adjunct faculty was recognized as important.
4. A recommendation was made to move ''Eligibility'' to a more prominent location.
5. On the Acceptance page, there is reportedly a discrepancy in the display of LEH values for assigned sections vs. eligible sections.
6. The Committee would like the Transparency Report for the latest term to be unavailable during the periods in which Department Chairs are performing the Section Assignments. This applies to both phases; 1 and 2. (The reason relates to the random order in which not-yet assigned faculty are retrieved during any given query -- and this could be misconstrued by some unfamiliar with databases and query language.) ITAD will attempt to accommodate this request.
Item # 2:
Departmental Exemption Discussion
Presenter
Andrew
Discussion
The eStaffing System Exemption Procedures documents need updating.
The importance of stressing that the exemption applies only to using the online eStaffing application for the purposes of staffing adjunct faculty to course sections was stressed. The eStaffing system needs to have an accurate and uptodate roster of ''Appointments'' and ''Eligibility'' regardless of whether a department is using eStaffing to make the assignments.
The circumstances in which eStaffing cannot be used for eStaffing, for the most part, revolves around a non-1-to-1 ratio between faculty and course sections. That is, where more than one faculty member is teaching a course section, or where the course sections are bundled to represent ''one course section'' represent the conditions under which the ''rules'' are insufficiently understood to create the algorithmic specifications that would be needed to enhance eStaffing to work for this limited population of course sections.
Deans with departments that are currently exempt, or were previously exempt and desire to make the case that they ought to be exempt, will be notified that an ''eStaffing Exemption Request'' form will need to be completed and submitted, so that the request can be evaluated at the December eStaffing Committee meeting. The Department Chairs and Deans for this group will be notified by late October, if possible, with this information.
If a decision on an exemption cannot be made during the December meeting, the DC and Dean will be invited to attend the February 2012 eStaffing meeting in order to explain the need for the exemption.
Departmental Exemptions (from using eStaffing for the purposes of performing the staffing of course sections for adjunct faculty), if approved, will be for a period of 3 years.
Item # 3:
Future Enhancements & Upcoming eStaffing events
Presenter
Kathy
Discussion
1. Infrastructure improvements related to the integration of Datatel/Colleague with eStaffing, as this applies to faculty and course sections.
2. Linking the developing ''adjunct'' modules within eHire to eStaffing to bring about greater interaction between these two web-based applications.
3. With assistance from a yet-to-be-formed focus group, the redesign of the Executive modules within eStaffing. (These are the Department Chair and Dean-related functions.)
Timely development of future enhancements and modifications to eStaffing are conditional upon the non-overriding of other higher priority projects that may be mandated by federal or state legislation, or other urgent college business needs.
