Dr. Pérez reported that the summer evaluation is in progress. The 11-week evaluation packets are due Monday August 9. Processing will begin then and reports/ CDs for department chairs will be sent by first week of September.
"Three click rule" Course Instructor Survey (CIS) online evaluation format
Dr. Mouchayleh reported on the development of the CIS prototypes to the FSEC. Dr. Pérez recapped decisions made by the FSEC during the previous June meeting. She summarized that the committee had already voted on potential formats to present to ACAC. From this discussion they requested to create three prototypes. Dr. Pérez presented the prototypes with the following content: (1) summary and ranking, (2) only summary, and (3) only ranking.
After discussing the formats the majority present voted to utilize the "only ranking" format because these ratings are meaningful to the ACC learning community. The ratings report in the simplest and most succinct way the meaning of the frequency distribution of student response within all the sections taught by an individual professor.
The FSEC also approved the language in the interpretation of CIS results to be hyperlinked on a separate webpage from the lighthouse application built by ACC specifically to fulfill the "three click rule."
Action Items-
Dr. Pérez will present prototype to ACAC for approval. Once approved, Scantron development of these reports will follow (includes the creation of a new process that will report only one rating integrating both lecture lab and only lecture forms).
Dr. Perez reported that the e-mail poll that took place for the "three click rule" resulted in a tie. The committee reviewed the way that UT is posting evaluations online. After this review, the committee decided to add to the format for evaluations to go to Light House a "guide to interpret course instructor surveys." Discussion ensued and the committee members present at the meeting decided to send three prototypes to ACAC by September 2010: (1) just the rankings for the professor, (2) just the summary section, and (3) both summary section and ranking
Action Items-
Dr. Perez will create prototypes and have them for committee review in August meeting.

Dr. Pérez reported the completion of the first pass for PEP form automation; Complaints and issues will be reported with IT to optimize the process. Changes include: automatic notification of final submission from employee and supervisor to employee; capacity for higher ranked VPs and Deans to be able to see completion and forms within two levels of supervision (this took place on paper), automatic reminders, capacity for coordinator to open and reset forms that have been accidentally submitted, and reports to be able to assess how supervisors rate overtime.

Dr. Pérez proposed in a tentative way to automate the Faculty Summary Form. After discussing concerns about implementing such a procedure, the FSEC decided to continue options about this. There was no consensus on this proposal; but the FSEC agreed that if this was created, that a transitional period will be needed to allow the faculty to adjust to this change in a gradual way. They referred to the process of entering grades online and how that was created over a period of two years. This remains an open item.
