To train and direct work processes of a designated group of accounting employees.

Description of Duties and Tasks

Essential duties and responsibilities include the following. Other duties may be assigned.

  1. Bill to Pay (B2P) Duties
    1.  Reconciles college revenues for financial integrity, assists with debt collection, and routinely reviews cash handling procedures, and monitors compliance with internal controls.
    2.  Coordinates and clarifies armored transport schedules and billings, bank deposit corrections, and internal and external logistics, procedures, and processes.
    3.  Responsible for the collection process for returned checks.
    4.  Actively coordinates the distribution of parking permits, bus passes, and green stickers from Cashier offices with other stakeholders.
    5.  Ensures the accurate processing of student payments and other college income through proper cash management and compliance with college policies/procedures.
    6.  Monitors and takes appropriate actions to minimize risk and ensure the safety of cashier staff and office.

     
    2.  Record to Report (R2R) Duties
    1.  Prepares entries, reviews, reconciles, and analyzes general ledger accounts; imports account information into spreadsheet and balances ledger; verifies and approves.
    2.  Develops, prepares, and updates procedures related to compliance with generally accepted accounting policies and procedures.
    3.  Enters data or information into computer terminal and reviews for accuracy.
    4.  Finds solutions to resolve problems and conflicts within the department.
    5.  Answers inquiries and resolves complaints from the College, the public and employees.

    3.  General Accounting/Operational Duties
     1.  Hires, trains, coaches, supervises, coordinates, and evaluates personnel while adhering to institutional human resource policies and procedures as well as related employment laws. Recommends progressive discipline and termination personnel actions for positions supervised to achieve excellent standards of service delivery to meet the needs of the College.
    2.  Schedules and priorities work assignments to ensure uninterrupted service throughout the year; approves time sheets.
    3.  Establishes and maintains relationships with staff, including but not limited, through observation, training, and providing resources and updates for daily operations for team members across the district.
    4.  Reviews and conducts annual performance meetings and reports for staff.
    5.  Consults with and assists staff at all levels regarding business office functions and issues.
    6.  Assists the Director, Accounting in analyzing and evaluating processes and procedures; recommends improvements.
    7.  Assists with the testing and implementation of new software systems or upgrades to existing software.
    8.  Participates in special projects and meetings related to Business Services.
    9.  Develops and conducts specific training on topics in need of review.
    10. Promotes interdepartmental relations by serving as a conduit for communications between the Business Office and business partners.
    11. Assists with internal and external audits.
    12. Responds to financial inquiries by gathering, analyzing, summarizing, and interpreting data.
    13. Prepares custom reports by studying variances; preparing and reviewing budgets; and developing forecasts.
    14. Complies with state and federal requirements by studying regulations, adhering to requirements, and collaborating with leadership on the required actions.
