General Statement of Job

To assist director in administering and operationally supporting a statewide collaborative of Texas' community college districts, which inter-institutionally share distance learning resources, including instruction, administration, technology, and student services.

Description of Duties and Tasks

Essential duties and responsibilities include the following. Other duties may be assigned.

  1. Orients new VCT coordinators, instructors and administrators regarding VCT administrative policies and procedures. Provides support to VCT coordinators regarding VCT processes and procedures. Coordinates/collaborates with director for VCT initiatives. Coordinates and/or assists other special projects.
  2. Coordinates, oversees, and maintains VCT and TxQMC websites and/or any appropriate social media; updates website content and links; provides recommendations to programmers regarding navigation, usability, accessibility.  Provides technical assistance to VCT and TxQMC coordinators. Grants appropriate user permissions and access.
  3. Manages multiple listservs and mail lists. Sends procedural and informational messages to VCT constituents. Provides information on VCT and TxQMC through email, phone and in-person.
  4. Collects faculty credentials from colleges and uploads them to an online document system; arranges access to credentials for college-designated users; provides user technical support.
  5. Collaborates with director for VCT meetings and events.  Drafts meetings reports / minutes.
  6. Serves as liaison between VCT office and Austin Community College Business office.  Prepares requisitions and Payment of Provider forms for services, supplies and equipment.  Manages payment of VCT and TxQMC expenses. Tracks VCT and TxQMC budgets and facilitates other necessary transactions.
  7. Performs complex activities using word processing, spreadsheets, presentation and survey development software.  Designs and produces handouts, newsletters, brochures, presentation slides, or other documents as needed.
  8. Completes any required training for TxQMC system management. Recruits individuals to serve on peer review committees.  Communicates via email with committee members and local colleges regarding formal Quality matters course reviews.  Facilitates compensation of online Quality Matters course providers and Peer reviewers.  Generates invoices for colleges participating in the TxQMC.
  9. May oversee work of hourly employees.
