General Statement of Job

To supervise daily operations of advising function and to assist with the college wide processes of enrollment services, helping to ensure applicants reach their academic goals. Responsible for providing consistent information regarding all areas of enrollment services. Performs a variety of activities to ensure the efficient and effective operations of the district-wide enrollment services department.

Description of Duties and Tasks

Essential duties and responsibilities include the following. Other duties may be assigned.

  1. Supervises, trains, coaches, directs, coordinates, and disciplines personnel while adhering to organizational human resource policies and procedures as well as related employment laws. Recommends hire and termination personnel actions for positions supervised.
  2. Supervises the daily operations of the advising function for enrollment and related off-site activities ensuring that employees are maintaining their work schedule, completing assignments and tasks, effectively advising students, promoting registration and enrollment, following procedures and guidelines, and providing satisfactory customer service.
  3. Receives, records, and identifies requests via phone, email, and web from ACC applicants, students, faculty, and staff. Handles all issue that have been elevated.
  4. Coordinates communication campaigns using multiple communication methods to prospective students promoting further engagement with staff at ACC to apply, enroll, and attend ACC; includes developing, monitoring, and updating enrollment advising web content.
  5. Works with Director to establish, maintain, update, and communicate an enrollment advising procedures manual for the advising function for enrollment as well as implementing strategies following guidelines to achieve department goals and objectives.
  6. Responds to and/or directs inquiries in person, on the telephone, or via e-email; accesses and works with other staff and/or departments to assist in resolving issues from prospects, applicants, students, employees and the public. Receives and resolves all application processing errors that cannot be resolved by their direct reports.
  7. Develops and facilitates regular training to staff members regarding advising function policies and procedures for the enrollment area and coordinates training with other advising and related areas across the college.
  8. Utilizes problem and change management processes to perform root cause analysis of application data match, and make recommendations to eliminate the root cause.
  9. Gathers, compiles and enters data, producing routine and specialized reports and documents; student information database, files, records, logs and other tracking systems. 
  10. Monitors prospective student records, data, workflow, and related guidelines to assure they are in accordance with all regulatory requirements.
  11. Works collaboratively with other Student Affairs areas and departments across the institution.
