The College Schedule Coordinator is a key member of the Office of Curriculum Development and serves on the Strategic Scheduling Team (SST). This position works closely with academic units and SST to provide operational support, guidance, data analyses and training in the development of the academic schedule of classes and assignment of instructional space for classes and events for all Austin Community College (ACC) campus programs and is responsible for following best practices for scheduling, curriculum, and adhering to academic regulations. Serves as the subject matter expert on college scheduling system, and ensures end users are utilizing the system and executing technology applications effectively and efficiently.

Description of Duties and Tasks

Essential duties and responsibilities include the following. Other duties may be assigned.

  1. Coordinates and directs activities for Ad Astra room scheduling and course file updates.
  2. Serves as liaison between Office of Curriculum Development and Information Technology (IT) in managing scheduling functions of scheduling software system.
  3. Functions as key liaison, service provider, and subject matter expert to academic departments and users of Ad Astra scheduling system.
  4. Works with IT leads to align college scheduling system (Ad Astra) with student information system. Recommends facilities scheduling procedures to maximize effective space utilization. Leads continuing efforts to improve scheduling and calendaring applications.
  5. Supports the analysis of a department or unit's scheduling activities to understand system requirements and operational needs.
  6. Prepares reports by collecting, analyzing, and summarizing information from scheduling software to provide data on efficiency and space utilization. Produces reports with predictive analytics for use by department chairs, deans, faculty, and administration.
  7. Interprets historical, current, and project data to identify operational inefficiencies and identify areas for which procedural or system changes are warranted.
  8. Develops training manual and conducts training for use of scheduling software for faculty and staff.
  9. Collaborates with stakeholders to develop scheduling of classes and events each term using scheduling software.
  10. Performs maintenance of the scheduling software application including configuring the application to change room features and assignment codes; assigns and maintains user privileges; creates new menu options; develops and updates table configurations and procedures and forms.
